Document translation
Professional translation of personal and business documents, with the purpose, terminology, format and any required formalities assessed before work begins.
Professional document translation for companies and individuals
Document translation can range from a certificate or diploma to a contract, technical manual, corporate report or financial statement. The first step is to establish the document’s purpose, language combination, context of use and the level of formality required.
I work directly with companies and individuals, without an agency acting as intermediary. I review the document before accepting the assignment so that the scope, price, deadline and any need for certification, apostille or another formality are clear from the outset.
The aim is a complete and accurate translation that preserves all information relevant to the document, including headings, numbers, dates, tables, references, notes, stamps and other elements required to understand the original.
What documents do I translate?
- Certificates, declarations, powers of attorney and other official documents
- Diplomas, academic certificates, transcripts and education documents
- Contracts, agreements, legal correspondence and corporate documents
- Corporate reports, presentations, internal policies and business documentation
- Manuals, specifications, procedures and technical or industrial documentation
- Financial reports, annual reports and accounts, financial statements and accounting tables
- Documents for immigration, nationality, study or employment
- Other specialised documents, subject to review of the content and purpose
When does a document translation need certification?
Not every document requires certification. A translation for internal use, information, filing or business communication may need no additional formality. A document submitted to an authority, court, university, registry or another institution may, however, be subject to certification requirements specific to that procedure.
If formal certification is required, see certified translations in Portugal. I carry out the translation; certification, where applicable, is a separate act performed by a person or body legally authorised to do so. For international use, the need for an apostille may also have to be assessed separately.
Personal, academic and administrative documents
- Birth and marriage certificates
- Criminal record certificates
- Diplomas, degree certificates and academic transcripts
- Employment and administrative declarations
- Certificates, records and other personal documents
A significant part of document translation concerns certificates, records and academic or administrative documents used in Portugal or abroad.
Legal documents
Contracts, judgments, pleadings, powers of attorney, articles of association, minutes and other legal documents require particular attention to the function of legal concepts and differences between legal systems. My academic background in law is directly relevant to this work.
For these documents, see legal translation.
Technical and industrial documents
I translate manuals for domestic and industrial equipment, machinery and systems documentation, specifications, procedures, instructions and other specialised technical content. Consistency between terminology, text, tables, warnings and internal references is central to this type of work.
See technical and industrial translation for details.
Financial and business documents
My experience includes company financial reports, annual reports and accounts, financial statements, accounting tables, audit reports and other business documents. Financial and accounting terminology, reporting periods, currencies, values and table structure need to remain consistent throughout the translation.
Immigration, nationality, study and employment documents
Civil-status certificates, criminal records, diplomas, academic records, employment declarations and similar documents are often used in national or cross-border administrative procedures. Requirements differ according to the country, institution and procedure.
For residence, nationality and related procedures in Portugal, see immigration documents for Portugal.
Working languages
Into European Portuguese, I work from English, Spanish, French, Italian and German. Depending on the project, I also provide Portuguese-to-English, Portuguese-to-Spanish and Spanish-to-English translation.
Availability for each language pair depends on the subject matter, degree of specialisation and intended use of the document.
Formatting, tables and document elements
Where the source format allows it, I preserve the relevant organisation of the original, including headings, lists, tables, numbering, notes and references. For scans or formats that are difficult to edit, any necessary layout reconstruction is assessed before the project begins.
Stamps, seals, signatures, handwritten notes, headers and other elements forming part of the document are handled according to the agreed scope and purpose, without omitting relevant information from the source.
Price and turnaround
Price depends on the language combination, length, complexity, format, legibility, deadline and any certification or other formalities required. A clear digital file is usually sufficient for a quote.
The quote states the price and deadline before work begins. Urgent requests are assessed according to availability and document length.
Direct contact and confidentiality
Document review, quotation, translation and revision are handled directly by me. Documents and information received are treated as confidential and used only as required to assess, perform, deliver and administer the service, in accordance with the Terms of Service and Privacy Policy.
How it works
- Send the document: indicate the languages, purpose, receiving institution and desired deadline where known.
- Review and quote: I confirm the scope, format, any formalities, price and deadline.
- Translation and checks: I translate the document and check terminology, numbers, dates, omissions, structure and consistency.
- Delivery: the work is delivered by the agreed method, normally in digital form unless the procedure requires otherwise.
